Who we are & laws
Venue IQ is a trading name of Xcelsus Ltd (company number 17380082), a private limited company registered in England and Wales. Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. We sell into Thailand and other markets. For app accounts we operate, we are the data controller of that account data.
We handle personal data under the UK GDPR and the Data Protection Act 2018, and under Thailand’s PDPA when the data relates to people in Thailand. Apple’s App Store Review Guidelines (including Guideline 5.1) also require a public privacy policy that matches what the apps actually collect.
The participating venue remains the controller of its own POS, staff, guest, and loyalty records. We process that operational data as a processor to run the licensed service.
VenueIQ Stats
This app is for venue owners and managers. You sign in with the email and password for your VenueIQ owner account. The app then shows sales, staff, rooms, expenses, stock, and similar figures that already exist in your VenueIQ POS.
We store a sign-in token on the device in the operating system’s secure storage. We do not collect contacts, precise location, or advertising identifiers, and we do not track you across other companies’ apps or websites.
Expense receipts attached in POS can be viewed in the app. If a receipt photo is processed for text recognition, a summary and translation may be generated using a third-party AI provider acting as our processor. That is to help you read the receipt, not to profile you or to advertise.
Data types typically involved: contact info (email), identifiers (account / device sign-in token), user content (receipt photos you or your staff already stored in POS), and product diagnostics (server logs such as IP and app requests, used to keep the service secure).
RewardsIQ
When you join a venue’s rewards programme you provide a phone number and name, and you may add email and date of birth. You must accept the privacy notice to create an account. Marketing messages are optional and only sent if you opt in.
Points, visits, and rewards are stored so the venue can run its loyalty programme. If you submit a payout QR image, that photo is used only to record how you want to be paid.
Data types typically involved: contact info (phone, name, optional email), identifiers (member account), sensitive info only if you add date of birth, and user content (optional payout QR photo). We do not use this data to track you for advertising.
Apple App Store privacy
This section is written so it matches Apple’s privacy questionnaire and Nutrition Labels. If a label and this policy ever differ, this policy describes the live behaviour; we will correct the labels.
- Tracking: we do not track you. We do not use data from these apps to advertise in other companies’ apps or websites, and we do not share data with data brokers. We do not use the Advertising Identifier (IDFA) for advertising.
- Third-party advertising: none. The apps do not show ads.
- Data used to track you: none.
- Data linked to your identity: account contact details, sign-in tokens, and the venue or membership records needed to run the product. Receipt OCR and payout QR images are linked to the venue or member account that submitted them, not used to build an advertising profile.
- Purchases: there are no in-app purchases in these apps. Venue licences are sold on venueiq.asia, not through the App Store IAP system.
Permissions: Stats does not require camera, contacts, tracking, or precise location. RewardsIQ may ask for photo library access so you can attach a payout QR. Android may also surface a microphone permission from the photo picker library; we do not record audio.
Account deletion & retention
You can ask us to delete an app account. Email the address in Contact and say which app and which login (email or phone). We will delete or anonymise account data we control, unless we must keep a record (for example a licence invoice).
Deleting a RewardsIQ guest account does not automatically wipe POS bills or loyalty history the venue is legally required to keep. Those records are the venue’s responsibility; we will tell the venue when you ask us to delete the app account.
Account data is kept while the account is active and for a reasonable period afterwards so we can provide support and meet UK (and, where applicable, Thai) record-keeping rules.
Your rights
Under UK GDPR and, where it applies, Thailand’s PDPA, you may request access, correction, deletion, restriction, or a copy of personal data we hold (including portability where UK GDPR applies), object to certain processing, and withdraw consent where we rely on it.
VenueIQ Stats is a business tool and is not intended for children. RewardsIQ is not directed at children under 13. Do not create an account for a child under 13.
You can complain to the UK Information Commissioner’s Office at ico.org.uk. People in Thailand may also complain to the Personal Data Protection Committee (PDPC).
